Stay on top of post-award performance with grant reports

For grantmakers with post-award reporting requirements, Good Grants provides a robust set of reporting tools to help streamline the management of awarded grants, maintain reporting compliance and keep funding on track.

Powered by Good Grants’ secure online forms, grantmakers can create an unlimited number of grant report forms to solicit programmatic, financial, KPI or other pertinent information. This can be done at any time and as often as required. 

Beyond text and numerical-based reporting, Good Grants supports rich content like videos, images and audio to help grantmakers confidently review the project in action and better define the impact of the grant at closeout. 

Grantee reports can be monitored from a dedicated and customisable view, providing clarity on which reports have been requested, when they are due as well as their submission status. 

Also included is the ability to pre-configure automatic notifications to grantees or members of the grantmaking team to help everyone comply with reporting schedules and save time doing it. 

Grantees benefit too. By using their dedicated grant reports view, they’ll be able to monitor their reporting requirements, status, and due dates with ease. They’ll also enjoy a highly intuitive and accessible reporting process, help and hint text for increased clarity on reporting requirements and auto-save technology to help minimise the risk of lost reports and wasted effort.

Let’s take a closer look at each of the individual features supporting grant reporting.

Grant report form type

Creating a grant report form allows grant management teams to solicit grant reports. This form allows the grant manager to collect information from the grantee and present it in a consistent format.

Form types for grant reports are easy to set up and launch, and they allow grant management teams to design the set of questions grantees should answer. Choosing from the same 17 field types as the application form, there’s a lot of flexibility when it comes to designing the grant report form.
All grant report forms are accessible from the forms menu and easy to identify based on the form card.

New views

Grant reports for grant managers and their team

Within this view, grant managers and their team can get a quick overview of the status of all grant reports and access individual grant reports for a deeper review. Like other table views in Good Grants, grant managers can customise what information is displayed in the table, organise it as they see fit and share custom views with other members of the grantmaking team.

Grant reports view for applicants

Easily accessible from the left-hand menu, this view provides grantees with an overview of all their reports and their current status. 

There are four statuses for grant reports: 

  • Scheduled: A report request has been issued AND it is neither overdue nor submitted.
  • In-progress: A grant report has been partially completed and not submitted. 
  • Submitted: The grantee has completed the grant report. 
  • Overdue: The grantee has missed their reporting due date.

Scheduling controls

To request a grant report from a grantee, grant managers and members of their team can schedule a report and its due date to individual grantees or many grantees at the same time.

And it couldn’t be easier. Grant managers simply choose which grant report form a grantee must complete and provide a due date for it to be completed by.

Once a grant report is scheduled, the report appears in both of the new grant report views (Under Apply and Manage workspaces) and on the managers view of an application. 

As seen below, the same report can be scheduled to be completed at different times. Perfect for standardised grant report requests and a major time-saver.

Notification trigger

A notification trigger is available to help notify grantees of their new grant report request. This notification trigger can also be configured to alert members of the grantmaking team and is sure to keep everyone in the loop and up-to-date with report requirements and timelines. 

Several notifications can be set up using the same “grant report due” trigger and while it is primarily intended as a means to notify grantees of their new grant report request, it can also be used to alert members of the grantmaking team. And of course, it helps to keep everyone in the loop and up-to-date with report requirements and timelines.

Grant managers can define a notification to be sent at the following times:

  • At due time
  • Before due time
  • After due time

All three of these can be offset by another 3 units of time (minutes, hours or days), providing granular control over notifications and enabling increasing levels of urgency as the due date nears.

Term adjustment and interface text overrides

Grant reporting also includes the ability to adjust both the grant report term and adjust the interface text for the overdue message, so if Good Grants’ term for grant report doesn’t quite fit your terminology, you can change how the system references it.

Grant reports are available to all Premium and Enterprise plans and are not subject to any limits to the number of reports created.
