Effortless teamwork: Good Grants announces submission collaboration

by | Dec 30, 2024 | Feature focus

If your grants program allows team-based grant applications, you are undoubtedly familiar with the challenges of opening an application form to multiple users.

For example, you need to enable collaboration without sacrificing security (you don’t want people sharing passwords and logins to complete the application.) You want to provide teams a way to access and contribute to a single entry to complete together in an easy, streamlined submission process. No messy back-and-forths, overwriting or miscommunications.

That’s where submission collaboration in Good Grants comes in! A new and powerful Enterprise account feature, which enables teams or a group of applicants to securely collaborate on an application in real-time without shared logins or additional workflows.

The benefits of submission collaboration

There are several unique benefits to a collaborative submission process:

  • A showcase of diverse perspectives and skill sets—with more and different people contributing to the application.
  • Improved division of labour. Grant applicants can share the workload and do more in less time.
  • Improved submission quality—collaboration allows for self-review within the application submission team, resulting in a better quality submission.
  • Faster and more accurate submission completion, avoiding excessive back and forth.

How submission collaboration works in Good Grants

To turn on submission collaboration in Good Grants, grant managers can simply tick a checkbox in the application’s form settings. This will then allow applicants to invite others to help them complete the form.

Submitters can invite others to collaborate in two places: directly on the form itself, or from the list view in “My applications.”

When adding a collaborator, the applicant can decide which permissions to give each collaborator:

  • View only
  • View and edit
  • Or view, edit and submit.

Invited collaborators will receive the invite via email and can register and log in securely to get started.

Multiple collaborators can then work on the application form at the same time. Any field that is currently being edited by one collaborator will be locked for others, making it easy to collaborate quickly without writing or editing on top of one another.

And on the management side of things, you can quickly see how many collaborators are involved with an application in the list views in Good Grants. Once you click into an application, you can see the names of all contributors, making it easy to see who is working on what. And, you can send emails and notifications from the platform based on collaboration triggers.

Submission collaboration is also available through webhooks and the Good Grants API.
